Show Policies

Admission Policy

Trade Only Event: Plant Based World Expo Europe is a trade only event and admission is restricted to trade visitors. You may be asked for proof of trade status upon arrival, the organisers may revoke your badge/entry registration, if your trade status cannot be verified.

Right to Refuse Admission: The organiser has the right to refuse admission to any company without assigning any reason. 

Selling to Exhibitors / Suitcasing: We have a very strict don’t sell to exhibitors policy. All exhibitors are here to promote their products to visiting industry buyers and do not wish to be sold to on their stands.

Suitcasing is the act of soliciting business in the aisles during the expo or in other public spaces by non-exhibiting companies. Anyone observed suitcasing will be removed from the show floor.

Students and Children: Students are not permitted to attend unless by special request. Children under 16 are not allowed into the show.

Animal Policy: Animals are not allowed at the show. The only exception is for service animals, which must be kept under control at all times in line with the venue’s policy.

Samples: Only take product samples when offered by the exhibitors and only enough to evaluate for potential business needs. Samples considered to be in excess of this need may be confiscated on exit.

Admittance: The entrance to the show closes each day at 16:00. There is no admittance after this time.

Badge Policy: All PBW attendees must have a badge to access the trade show and conference sessions.

Badge Scanning: By choosing to allow my badge to be scanned by an exhibitor or sponsor when at the event, I will be providing the exhibitor or sponsor with my personal data. I consent to this personal data being used to contact me about their products or services and understand that this partner or sponsor may transfer this data outside of the European Economic Area for these purposes and I consent to such transfer of my data.

I also understand and agree that my personal data may be held and used by the organiser of this event JD Events Ltd, and any third party hosting provider acting on its behalf, in order to run the event and for analysing visitor traffic with a view to improving the event experience for visitors.

Disruptive Behaviour: We reserve the right to deny entry or remove from the event facilities any person who in our sole and absolute discretion is behaving or threatening to behave in a manner which we reasonably consider to be disruptive of the event.

COVID-19 Policy: JD Events Ltd requires all attendees to co-operate with hygiene and safety best practices to prevent the spread of COVID-19. These policies are subject to change under the latest government advice.

Conference Speakers: JD Events Ltd reserves the right to provide qualified substitute speakers in the event of emergency, illness or other like event. JD Events Ltd will make every attempt to immediately notify registrants of any changes or cancellations.

Data Handling: If you wish to attend the show, your data will be held in order to facilitate your visit, such as send you your badge and travel updates. If you would like your data to be deleted from our records, and you no longer wish to attend, please email [email protected]

Data Protection Policy

JD Events Ltd aims to always show transparency and fairness in the collection and use of data, and to let individuals know for what purpose their data will be used.

We aim to:

  1. Make it clear to individuals who register for our events, websites or publication subscriptions, for what purpose the information is held and that they can unsubscribe at any point.
  2. Where people wish to unsubscribe, we will ask specific information about which names and companies they want to unsubscribe and for which products.
  3. We will only hold data for a given period.  If we have had no transaction or activity with a contact on our database, it will be deleted after a maximum of 5 years.  This applies to all data, including customers, staff, job candidates and any other information we hold on individuals.
  4. Information held is confidential and will be used only for the purpose it is intended and for which permission has been granted (i.e., no selling of data to third parties unless permission has been granted).
  5. We must be able to show where we obtained our data from and on which date consent was obtained.
  6. All registration forms must explain that due to the rules, we need consent that our customers are happy to be contacted about directly relevant events, to be mailed a magazine, or to be contacted by email, post or phone.  Individuals who register with us must be told that they can withdraw consent at any time.
  7. Visitors to events will, in addition, be informed via a sign at the entrance and a notice in the show guide, that by allowing an exhibitor or sponsor to scan their badge, or in any other way providing details, they are giving consent for that exhibitor or sponsor to contact them about their services.  They may at any time contact the exhibitor or sponsor to withdraw consent.
  8. You may update information that you previously submitted to the Sites, or request to be removed from our mailing list by sending an email to [email protected]
  9. Individuals will at any time have the right to require information about the data being held and processed about themselves, and JD Events must respond to such a request within 28 days.
  10. We will only collect or process data where we believe there is a legitimate interest.
  11. All staff are trained to understand their obligations

This policy is under regular review and may be adapted pending legislative changes.
